BASIC CONDITIONS

  • The participant must be a full-time student – ​​it is possible to travel as part of a waiting for final exams, or extended year.
    • It is not possible to travel as part of interrupted study.
    • Exchange must end (and be administratively finalised) no later than the day before final exam (SZZK).
  • Each participant can use up to maximum of 12 months in each study cycle of higher education (bachelor, master, doctoral).
    • A student can complete one long stay or several shorter ones (but the minimum prescribed length of stay of 2-3 months must be observed).
    • It is important to remember that all study, practical and short-term internships in a given degree add up. This also applies to all previous studies in a given study cycle
  • According to AMU requirements, a student must obtain at least 18 credits per semester during long-term study mobility at a foreign institution, regardless of whether they no longer need to complete any credits towards their study plan at FAMU or are already waiting for final exams.

We recommend that you make your choice of schools well in advance, carefully go through the individual offers of study programs and, in case of confusion, do not be afraid to contact the study coordinators at the admission schools for more information.

Since FAMU students are very interested in some of the partner schools, unfortunately we are often forced to reduce the number of applicants in the nomination months (February-April). If you want to consult your choice of schools in advance, please contact the relevant coordinator.

Czech National Agency for International Education and Research has restored the source of students' experiences from their study stays and practical internships and has made available a database of Erasmus students' final reports.

APPLICATION PROCEDURE AND exchange PROCEDURE

FACULTY ROUND / INTERNAL APPLICATION (until the end of January)

  • until 31.1. of the relevant calendar year, complete the INTERNAL ONLINE APPLICATION
    • applications are submitted for mobilities planned for the following academic year
  • from the list of FAMU partner schools, select a maximum of 3 schools according to the information provided on the study program and language of instruction (maximum 1 outside of EU)
  • sort the schools by level of importance – due to the high interest in some schools and the limited number of possible accepted students and nominations, it is possible that you will subsequently be asked to change your selected schools, with priority given to students who listed the school in first place.
  • we do not accept applications for institutions with which we do not have an international agreement
  • due to the complicated financing of internships outside the EU, we are only realistically able to send approximately 7-8 students per year - when selecting, we recommend that you list a maximum of one school outside the EU, as there is a risk that such an internship may be denied for financial reasons.

NOMINATIONS + APPLICATIONS TO SELECTED SCHOOLS (winter semester: March–June / summer semester: September–November)

After the faculty round is closed, the faculty coordinator processes the applications:
 

  • The coordinator, in cooperation with the students, specifies the selected schools (taking into account the limited capacity of nominations and the continuing high interest in some schools) and sends the nominations (February-April)
  • In the meantime, the departments comment on the applied students and create a ranking (February-March) – this ranking is important when we are allocated funds and the budget is redistributed (June-July)

After receiving the nominations from FAMU, the schools usually respond with a specific admissions procedure – if this does not happen, you can find all the necessary information on the relevant website of the foreign institution, or contact the coordinator of the foreign schoolyou can then submit applications to all selected schools.

Keep in mind that the application deadlines, submission method and individual steps for submitting applications differ for each institution (March-June). However, these are usually the following documents:

ACCEPTANCE BY FOREIGN INSTITUTION → CONTRACT

We should have clear information about the budget allocated to FAMU by the end of June. You will then be confirmed whether you can count on a financial contribution for the mobility.

It is necessary to have all the documentation related to the trip resolved no later than 4 weeks before the start of the mobility.

 

Via the ONLINE FORM // BEFORE MOBILITY, submit to us the documents for preparing the participation contract and related attachments:

    final version of Learning Agreement – ONLINE LEARNING AGREEMENT (in the meantime, only a completed and signed document from the student is sufficient - however, the document must be signed by all parties before transfer of financial contribution is made)
  • Agreement of the Erasmus study plan (see list of documents) – document similar to the Learning Agreement, but for internal use + ISP
  • arrange travel insurance for the entire duration of your stay covering medical expenses insurance
  • (optional) other documents related to the increase in the INCLUSION support contribution (cannot be granted retroactively)
  • (optional) affidavit (see list of documents) and travel documents for the ecological form of transport Green Erasmus (cannot be granted retroactively)

After submitting the documents, the faculty coordinator prepares a participation agreement, passes it on to the rectorate for review and then presents it to the student for signature – THE AGREEMENT MUST BE SIGNED PHYSICALLY.


Without a signed agreement and fully signed additional annexes (department approval, Learning Agreement), it is not possible to pay out the financial contribution.
 

Note: given that the preparation of documents before departure for the winter semester takes place during the summer holidays, we recommend not leaving anything to the last minute.

COURSE OF THE EXCHANGE (AND CHANGES)

After the delivery of all the necessary documents, the student will receive a financial allowance before departure according to the financial agreement based on the destination and duration of the internship.

 

If the mobility continues into the next calendar year after 28th February, the payment of the financial contribution is proportionally divided into two installments – the second installment is paid during January of the following year.


If there are any changes during the course of the exchange – especially changes in subjects and duration – In such a case, a new document Agreement with the Erasmus+ study plan is required (you can omit the part about ISP) - only after submitting this document will the faculty coordinator approve the modified ONLINE LEARNING AGREEMENT (or paper form in the case of internships outside the EU).

 

Note. Only those subjects which are registered in LA and which correspond to the later delivered overview of study results (Transcript of Records) can be recognized.

AFTER THE RETURN

In order to successfully complete the exchange, it is necessary to submit several documents:

 

  • Transcript of Records
  • Confirmation of Study Period – see the list of documents - note: if the number of days in the provided differs significantly from the data in the participation contract, the Rectorate will calculate the proportional part of the financial contribution that the student will return.

The international department of the partner institution will issue both documents upon request, which must be sent by the coordinator at the partner institution to the faculty coordinator's email: erasmus@famu.cz

 

  • Based on the Transcript of Records and confirmation of the length of stay confirmed by the receiving institution, the student fills out the Proof of Recognition form (see attachment). The completed and signed Proof of Recognition form is handed over by the student to the head of the foreign department within 14 days after returning from the study exchange.

Fulfillment of the study plan from the Learning Agreement and the recognition of individual subjects is assessed by the Head of the department or Vice-Dean for Study Affairs in accordance with the student's study program. Afterwards the Registrar Office of the faculty enters the recognized subjects and credit assessment in the KOS study information system.

If all the mentioned documents are not submitted after the return, or if the student does not fulfill the minimum number of credits, he will be subject to sanctions in accordance with the financial contract. In practice, this can mean the return of up to the entire financial contribution.
